This explains what information we collect, why, and who can see it. We collect only what is needed to run the event, verify attendance and communicate with you.
What we collect
- Online registration: your name, email, phone number, country, time zone, and your agreement to the camera and microphone rules.
- Under 18: a parent or guardian's name, relationship, email and phone, and their consent.
- At the venue: only your name, email and phone number, and the time you checked in.
- During the chanting: the time you join and leave, whether your camera and microphone are on and this page is open (checked every 30 seconds), your internet address (IP) and device type, and video recordings of the chanting used as evidence for the world record.
- Groups and invites: the group you joined and who invited you, so group leaders can see who is ready. WhatsApp: only if you tick the box, we use your number to send reminders and your join link.
- Messages you send us, and the time you used the camera and microphone check (nothing from the check is recorded).
- While you fill in the form, your name and contact details are saved as you type so the organizers can help you finish if you are interrupted.
Online chanting rooms
During online rounds you are placed in a room with a volunteer host. The host sees your name, ID, and your city and country if you gave them, and marks who took part. We log when you join and leave and any interruptions (for example camera or microphone off). Rooms are recorded so reviewers can verify participation. Recordings and logs are used only for verification and are not published. Volunteer hosts agree to keep participants' details private, and their own sign-up details are stored to organize the rooms.
Why we use it
- To register you and send you your Participant ID, event time in your time zone, reminders and your personal join link.
- To verify participation, with human review of exceptions.
- To send reminders by email and, if you agreed, WhatsApp.
- To answer your questions.
Who can see it
Only the event team, through password-protected accounts with limited roles: reviewers do not see contact details, and check-in staff only see the check-in page. Access and changes are logged. We do not sell your information or share it for advertising.
Storage, security and keeping data
The website uses HTTPS. Passwords are stored in scrambled (hashed) form. We keep regular backups. We keep your data for as long as needed to run the event, and verify participation for the world record, and we delete it when you ask or when it is no longer needed.
Cookies
We use only the cookie needed to keep you logged in. No advertising or tracking cookies.
